U.S. Bridge is seeking an organized, detail-oriented Administrative Coordinator to support our Engineering, Drafting and Project Management departments. This role is essential to keeping projects on schedule, ensuring smooth handoffs between departments, and outside services. You'll work closely with project managers, engineering staff, and outside vendors to keep information flowing and jobs on track.
Key Responsibilities Engineering, Drafting, and Project Management
- Maintain and update a master tracking list of all active jobs moving through Engineering and Drafting, monitoring progress against project managers' schedules and flagging any jobs at risk of falling behind
- Communicate new job information promptly to the shop drawing coordinator so shop drawing production can be scheduled and managed effectively
- Work with the lead drafter to release and print Shop Drawings for the Shop team
- Prepare and issue purchase orders for outside drafting agency services, ensuring accuracy and timely processing
- Serve as a point of contact between engineering/drafting staff, project managers, and outside vendors to keep information current and accessible
- Maintain organized records related to job status, drafting assignments, and vendor purchase orders
- Coordinating Subcontracts and POs for Project Management
- Updating project tracking sheets
- Gathering required contract documentation and sending to the appropriate parties
- General administrative tasks for both departments
Qualifications
- Prior administrative, coordination, or project support experience (experience in manufacturing, construction, engineering, or a related industry a plus)
- Strong organizational skills with the ability to track multiple jobs/projects simultaneously
- Comfortable working with spreadsheets and tracking tools (Excel or similar)
- Clear written and verbal communication skills
- Ability to work collaboratively across departments and with outside vendors
- Self-starter who can identify schedule risks and proactively communicate them
Education
- An associate degree is preferred.
